FAQ’s - Prospect Engager

  1. Where are all of my prospects?

With the prospect engager we have started with a clean slate, this means you start with no entries within your prospect engager. With your old prospects, you can pull these up using Customer> search within Fitware and pull up their name, once clicking on their name, It will automatically populate their information within the prospect engager and add them to the list.

  1. How do I add a new prospect?

You can add a new prospect within the prospect engager by simply clicking on the Plus Symbol in the upper right hand corner of the screen, when hovering over this, it will reflect “add new person” Any fields within the pop up that have a * icon must be filled out to proceed.

  1. How do I convert a new prospect to a trial?

This can be done by using’ add an event’ to a prospect. You will be given a pop up in which it will ask you for a summary, A type, When (you need to select the ‘now’ option), Outcome, and description. After entering the summary and type, you will select your option as Trial, you will then enter a description and proceed by clicking on the ‘save’ icon. This will then ask you for a trial end date. Once you proceed from this screen, it will then automatically bring you to a trial screen in which you can input a barcode and a trial date range. Once done with this, this will complete your process.

  1. How do I convert a prospect to a member

This can be done by using’ add an event’ to a prospect. You will be given a pop up in which it will ask you for a summary, A type, When (you need to select the ‘now’ option), Outcome, and description. After entering the summary and type, you will select your option as sale, you will then enter a description and proceed by clicking on the ‘save’ icon. It will then automatically bring you to a member conversion screen in which you can then follow the normal membership sign up steps to complete task.

  1. How do I edit, remove, or end a barcode for my trial?

This can be done by pulling your prospect up within customer>search Tab. From here you will click on the “edit icon” to the right hand side of the members name. You will be brought to a prospect overview page, where you will be able to change statuses, edit barcodes, or end trials. 

  1. How can I report on all of my recently entered prospects?

Once you have all of your 30 day trials entered into the system, you may be asking yourself how you can track these. One of your easiest reports to run is your ‘prospect free trials report’ this can be found by hovering over the prospect engager icon and clicking on the prospect fee trial option. This will show you all trials that had been added from the prospect engager and when they start/ end.

  1. I’m getting an “Email address has already been taken” Or “this person already exists in Fitware”?

A form of contact is important for your prospects, as this is the key element in engaging all of your prospects, and hopefully, converting them to members. When entering a email address or a new phone number, you are required to have a unique contact method for each prospect. As you don’t need both, please keep in mind that you must have at least one form of contact information to input a new prospect.
